Giving simple instructions is an important part of daily communication. People give instructions at work, at home, in stores, and when helping someone use a device. Good instructions should be clear, short, and easy to follow. If instructions are confusing, people may make mistakes or ask the same question again.
A useful first step is to explain the goal. Before giving details, say what the person needs to do. For example, “You need to send this form by email” gives a clear idea of the task. After that, explain the steps in the correct order.
It is often better to give one step at a time. Long explanations can be difficult to remember. Words such as first, next, then, and finally help organize the information. For example, someone can say, “First, open the app. Next, choose your account. Then, press the green button.” This is easier to follow than one long sentence.
Simple language is also important. Avoid difficult words when an easier word is possible. If the listener does not know a word, explain it or show the object. Pictures, examples, and demonstrations can also make instructions clearer.
The speaker should check that the other person understands. Instead of only asking, “Do you understand?”, it can be useful to ask the person to repeat the main steps. They can also try the task while the speaker watches. This helps find problems early.
Tone matters too. Instructions should sound helpful, not angry or impatient. People often learn better when they feel comfortable asking questions. If they make a mistake, the speaker can explain the step again calmly.
Clear instructions save time and reduce confusion. A simple goal, short steps, easy words, and a quick check can make everyday instructions much more effective.
