Bridging Time Zones: How AI Can Help Me Lead Async Teams

Ever feel like your calendar is working against you?
We were in the same boat until Belinda Prins from BeInCrypto shared how she uses just a few simple AI tools to bring order to the chaos of managing teams across time zones.

Whether you're juggling a remote team, planning an international event, or just trying to survive the madness of overlapping schedules—these tips might just save your sanity.

So, here's the secret sauce in my remote toolkit:

1️⃣ ChatGPT for Time Zone Sanity:
You know what’s worse than a 7 AM meeting? Realizing it’s 7 AM for you, but 2 AM for Berlin.
Instead of doing mental gymnastics with time converters and guessing who’s getting up at the crack of doom, I just ask ChatGPT: “Hey, give me overlapping work hours for Bali, Berlin, and San Francisco.”

Boom—problem solved. It’s like having a personal timezone concierge. No spreadsheets, no brain strain, just perfect scheduling harmony.

2️⃣ Slack Bots for Localized Reminders:
Now this is the real MVP. We've got a custom Slack bot that translates a single reminder into local times for everyone.

I type: /remind #local-team-leaders "Update the project status today" every Monday at 9am

And voilà!
London gets it in GMT, New York gets it in EST, and I stay stress-free in WITA. It's like your reminder has a passport and a global clock built in.

✅ My Global Work Life:
Living in Indonesia and working with people across Europe, the US, and wherever else life takes them, I used to spend more time decoding time zones than actually doing work.
It was chaos. I’d say "Tuesday 9 AM" and half the people showed up Wednesday.
Now? These tools handle the mess while I get things done. They turned my day from “constant confusion” to “calm coordination.”

Efficient, smooth, and about 73% less stressful.

✅ Best Practices:
- Always anchor time in local terms, not UTC.
- Use bots and AI to handle the boring stuff—calculations, reminders, nudges.
- Never trust “tomorrow” without a timezone.
- Test your tools—don’t wake someone up by accident.
- Let people work async—respect their time zone, not just yours.

🔔 Quick reminder: No tool can solve everything (still waiting for that "read my mind" plugin). But if juggling time zones, reminders, and chaos drains your energy—these little tech helpers are total game changers.

❓ What digital tools do you swear by to keep your workflow on track - especially when time zones are in the mix?
